ARCHIBUS Web Applications Supports Schools Program

the implementation of its ARCHIBUS solution by the Cincinnati Public Schools
(CPS) to support its major, ten-year initiative to upgrade its educational
facilities into modern 21st century learning environments.

To ensure this investment in upgraded facilities and equipment was
protected over time, the district implemented ARCHIBUS Web-based
applications for Building Operations Management, Space Management, and
Furniture & Equipment Management applications These core applications have
been designed to align CPS’ maintenance and asset tracking procedures with
the state’s detailed maintenance requirements.
“Prior to implementing ARCHIBUS, to say we didn’t know how many
work-orders we were processing each year would have been an understatement,”
says Mike Albrecht, CAFM Analyst in CPS’ Facilities Group. “In fact, the
number was 20% more than we thought. With the ARCHIBUS solution, though,
we’ve seen a marked improvement in the number of work-orders tracked and
closed based on our analysis.”
Ensuring Compliance
CPS collaborates with the Ohio School Facilities Commission to fund
renovations and new construction. To that end, the commission releases a
design manual that all school districts’ architects must comply with. CPS
must, therefore, submit a maintenance plan to the commission in order to
receive funding for on-going maintenance on their buildings.
Once the commission receives this data, it generates reports on CPS
assets and prescribes preventive maintenance procedures. Using this
information, the district develops an ongoing maintenance and capital
replacement budget for each new school.
In adopting ARCHIBUS, CPS is also making the transition from centralized,
manual work-order processing to a distributed, self-service Web-based system
for processing work requests, which number over 15,000 annually.
The ARCHIBUS Building Operations and other applications also ensure that
the investment in new facilities is sustained over the projected 25-year
useful life of the buildings the district is constructing. The school system
can also track the preventive maintenance history of all its equipment
through ARCHIBUS and use it to estimate the life of the equipment and
generate replacement costs 20 years into the future.
Tracking Accountability
Along with a third party key control module, CPS has also implemented
ARCHIBUS’s Fleet Management to improve oversight of its vehicles’
maintenance and condition.

there are no more lost work orders or finger pointing,” adds Mike Albrecht.
“With these digital processes, work flow is easy to track and monitor. The
availability of metrics for report generation within ARCHIBUS, using Crystal
reports for custom reporting, has also been invaluable.”
